Does XBS PRO-LOG S.A. handle the receipt of alcohol under excise duty suspension (EMCS)?


YES. The delivery must be registered in the EMCS system, and both the consignee and the destination place should be indicated as the bonded warehouse of XBS PRO-LOG S.A.

What documents must be prepared for the goods to be accepted into the bonded warehouse?


To ensure smooth acceptance of goods into the bonded warehouse, please notify us at least 24 hours before the planned delivery, providing the following information and documents:

  • Details of the contractor (e.g. invoice or goods specification),
  • Logistics data including alcohol content and packaging capacity,
  • ARC number from the EMCS system.

What is the maximum storage period for goods in the bonded warehouse?


We recommend storing goods no longer than their shelf life. Disposal of goods incurs additional costs 😊 and is carried out at the expense of the Principal.

Do you handle EMCS declarations (receiving e-AD, issuing e-SAD)?


YES, we hold all the necessary permits and financial guarantees to provide comprehensive excise goods logistics services at scale.

Can additional operations be performed while goods are stored (e.g. tax stamping, labeling, repackaging)?


YES, XBS PRO-LOG offers a wide range of additional services required for the legal release of excise goods to the market. Those not restricted by law can be customized to the Client’s individual needs.

What is the procedure for releasing goods from the bonded/customs warehouse to the domestic market?


For goods requiring excise tax stamps, stamping must be performed beforehand in accordance with regulations. Attention must also be paid to IHARS and SANEPID requirements, product labeling in Polish, consumer protection information (e.g. allergens, font size), and correct excise and/or customs duty settlements.
Depending on the agreement and relevant authorizations, XBS PRO-LOG can carry out the majority of administrative obligations on behalf of the Client.

Does XBS PRO-LOG S.A. arrange pick-ups from seaports or airports?

YES, we do. However, before ordering transport, we recommend verifying the INCOTERMS agreed with your Supplier.
What are the available delivery and dispatch time slots?


    The XBS PRO-LOG S.A. warehouse operates Monday to Friday, from 7:00 AM to 11:00 PM.

    Is the warehouse equipped to handle refrigerated containers or tankers?


      NO, we handle goods in standard commercial packaging that do not require temperature-controlled storage.

      What are the requirements for seals and transport security to the warehouse?


        If not required by customs or excise regulations, we leave this decision to the Supplier.

        What storage quality standards does XBS PRO-LOG meet (e.g. HACCP, IFS Logistics)?


        To stand out in terms of quality and safety, we set the bar high. Our company holds certifications for ISO 9001, ISO 14001, ISO 27001, ISO 22301, and IFS Logistics.
        Their maintenance is ensured by our interdisciplinary XBS PRO-LOG S.A. Team.

        What are the minimum and maximum storage capacities?


        We provide storage equivalent to 35,000 pallet spaces (1200 x 800 x 1700 mm). Custom configurations (e.g. 800 mm height or shelf-type locations) are available upon request.

        Do you offer consolidation of deliveries from multiple suppliers?


        YES, in popular wine-producing countries we work with logistics partners who handle load consolidation on our behalf.

        How is quality control performed upon receipt (e.g. packaging check, label compliance)?


        The level of detail is defined individually. After learning the Client’s requirements and delivery setup, our team recommends the optimal solution.

          Is API integration with our WMS or ERP system possible?


          YES, our WMS supports multiple levels of integration with external systems. For simpler setups, we offer data import in XML format.

            Do you issue monthly warehouse turnover reports for tax authorities?


            YES, for Clients authorized to release goods from our bonded warehouse outside the excise procedure.

            What data is included in EMCS documentation?


            Sender and recipient details, carrier information, dispatch and destination country and address, transport details, product data (excise goods type and quantity), secured excise value during transport, and EMCS message status.

            Do you assist with CN classification and excise rate calculation?


            YES, our Customs Agents and Excise Specialists verify CN and excise codes declared by suppliers.
            If discrepancies arise after reviewing tariff rules, explanatory notes, or product composition, Clients are informed along with the justification.

            How do you protect customer data (GDPR)?


            We do not improvise when it comes to data protection. Security procedures are regularly reviewed, updated, and audited by external firms.
            As of October 1, 2025, XBS PRO-LOG holds certifications for ISO 9001, ISO 14001, ISO 22301, ISO 27001, and IFS Logistics.

              Do you provide access to warehouse operation history?


              The frequency and scope of reporting are configurable in our WMS and can be automatically sent at agreed intervals.

                The final decision, however, rests with the Client.
                We also emphasize the importance of accurate communication and delivery pre-notifications — unforeseen costs often arise from pre- or post-service processes outside XBS PRO-LOG’s control.

                Do you cooperate with sanitary or agricultural inspections (SANEPID, WIJHARS)?


                YES, our Clients can authorize us to prepare and submit applications for certificates issued by SANEPID and WIJHARS, including sample collection coordination.

                What are the conditions and prices for long-term storage?

                Terms are discussed individually based on goods type and cooperation scope.
                We distinguish the following categories:
